Swanwick Bible Weekends is a registered charity (No. 1057718) organising an annual residential Bible study weekend for the Christadelphian community. References to "we", "us", or "our" in this policy refer to the Swanwick Bible Weekends committee.

When you book a place at Swanwick, we collect:
• Your name, email address, and phone number • The names and ages of any children in your party • Dietary requirements and accessibility needs • Payment information (processed securely via our payment provider — we do not store card details)
If you contact us by email or our contact form, we may retain that correspondence.
How we use your information
We use the information you provide solely to:
• Process your booking and payment • Communicate with you about the event (confirmation, updates, reminders) • Arrange accommodation, catering, and session arrangements appropriate to your group • Fulfil any welfare, dietary, or accessibility requirements you have notified us of
We do not use your information for marketing purposes, and we do not sell or share your data with third parties, except where required to fulfil your booking (e.g. passing dietary requirements to the Hayes Conference Centre).
Legal basis for processing
We process your personal data on the basis of:

How long we keep your data
We retain booking records for up to 3 years following the event for accounting and safeguarding purposes. Contact enquiries are retained for 12 months. After these periods, personal data is securely deleted.
